About JTI Ventures

We are a Swedish e-commerce company selling on multiple marketplaces and our own web shops, with suppliers in several countries. We are a small team in Sweden with short decision-making paths and a high pace. The business is growing, and we need someone who can take clear operational responsibility for order flow, supplier follow-up, and daily routines.

About the role

Much of our operations today rely on experience, email threads, and informal routines. That has brought us here, but not further. Your task is to help transform this into clear, documented, and controlled processes that we can scale—without depending on the right person happening to remember the right thing.

As an Operations Coordinator, you work hands-on with the operational order flow from order to delivery to customer. A large part of the work is in the daily flow: placing and following up orders, ensuring order confirmations, checking delivery status, tracking, updating systems, handling deviations, and driving suppliers until issues are resolved.

You drive daily supplier dialogue, follow up orders and deliveries, and help build routines that keep the business together as we grow. The role requires both process ability and strong administrative accuracy in daily work.

This is a hands-on role. We are not looking for a strategic consultant—we are looking for someone who enjoys digging into details, mapping unclear flows, building a Google Sheet that solves a problem, following up open order lines, and ensuring nothing falls through the cracks.

You work closely with and report directly to the CEO.

Your mission

  • Own the daily order management: ensure orders are placed correctly, confirmed by suppliers, followed up, tracked, and escalated when deviations occur
  • Own and develop the operational order flow, including order systems, logistics flow, delivery follow-up, and internal control points
  • Ensure daily follow-up of open orders, order confirmations, delivery status, tracking numbers, delays, and deviations
  • Keep internal systems updated with accurate order status, delivery information, and follow-up notes
  • Drive daily supplier dialogue regarding order confirmations, backorders, delivery times, tracking, escalations, and operational issues
  • Identify unclear or informal processes, map them, and build structured workflows with clear responsibilities, controls, and follow-up
  • Build robust SOPs and control systems so the business does not rely on individual memory
  • Identify, follow up, and escalate deviations in the order and delivery flow before they affect customers or marketplaces
  • Identify and resolve bottlenecks before they become bigger problems
  • Follow up operational KPIs such as order status, late deliveries, missing tracking, delivery accuracy, open cases, and supplier deviations
  • Support month-end close from an operational perspective

We are looking for someone who

  • Has at least 3 years of experience in operations, logistics, order management, or supply chain—preferably in e-commerce or marketplace-driven businesses
  • Has done it before: taken an area where "almost everything works" and transformed it into a process others can follow
  • Thrives with daily operational follow-up, administration, order management, and recurring routines
  • Is comfortable with daily supplier dialogue in English, both written and spoken
  • Is used to working in multiple systems simultaneously and keeps data updated with high accuracy
  • Has very strong administrative skills and enjoys working in a structured manner with details
  • Builds systems and documents processes by instinct—not because someone tells you to
  • Has a high attention to detail and understands that small mistakes in the order flow can quickly create big problems for customers, suppliers, and marketplaces
  • Is structured, self-driven, and not afraid to roll up sleeves
  • Is proficient in Google Sheets/Excel at an advanced level
  • Is fluent in Swedish and English

A plus if you have

  • Experience with e-commerce platforms and marketplaces
  • Experience with operational supplier follow-up
  • Experience with order flows, delivery follow-up, and deviation handling
  • Experience in following up open order lines, tracking, and delivery deviations in larger volumes
